Sales

From a message coming in to a signed job.

Contacts
Clients, prospects, suppliers and subcontractors. Contact people, several addresses, tags.One client, the same everywhere. What was captured in the sales conversation is on the job sheet and on the invoice too.
Leads
Incoming enquiries in a work queue, sorted by waiting time, with a clock that changes colour.Every message is read before a person gets to it: what it is about, how urgent it is, what the next step is. A payment reminder is recognised as not being a lead.
Pipeline
Opportunities on a board by stage, with weighted forecast and a flag on anything standing still.
Quotes
Quote builder with sections, provisional sums and optional items. Versions, and online approval by the client.The client signs through an approval link. That approval is what opens the job. No email thread in which “fine by me” is the contract.
Tasks
Follow-up on leads, opportunities and contacts, with anything overdue at the top.
Sales analysis
Win rate, lead time and loss reasons from a fixed list.The reason on a lost opportunity is required and comes from a list. Only then can you add up, a year later, how often the answer was “price”.

Operations

Where the work happens, and where most of the margin leaks away.

Jobs and projects
Budget per cost category, phases, variations, interim invoices and a progress statement. Job sheets and hours come together on one tab.Budget and actual sit side by side, per phase. The forecast final cost says how sure it is: on a project that has only just started, it says so.
Work orders
Schedule on a planning board, assign to engineers, book straight through to the project.
My work
The engineer’s view on the phone, which keeps working offline: timer, materials, photos, signature and variations signed on site.With no signal everything keeps working. Whatever was filled in goes across the moment there is a connection again. Nobody has to retype anything in the evening.
Sites and assets
Locations with their equipment, maintenance history and access details.The engineer who has never been there knows where the key is kept and what was done to that boiler last time.
Service and maintenance
Maintenance contracts, service visits and breakdowns. Flags what is overdue, and flags statutory inspections separately.

Administration

Invoices you can explain, and purchasing you see coming.

Invoicing
Time-and-materials and interim invoices, credit notes, retention and the G-account.Retention is calculated on the amount excluding VAT, the G-account on the amount including it. Get that wrong and every construction invoice needs a correction.
Invoice backup
Every invoice line points back to the signed job sheet: date, engineer, hours, what was done and who signed.
Purchasing
Orders and purchase invoices, with the committed cost that is not in the figures yet.Ordered but not yet invoiced is the amount that quietly keeps a project result looking rosy. It is shown separately.
Accounting link
Sales invoices and debtors to Exact Online or SnelStart.

Documents and branding

Paperwork that looks like it came from you, because it did.

Template builder
Build quotes, invoices, job sheets and reminders from blocks, with no IT knowledge.A check watches the statutory invoice requirements and blocks any template that would not produce a valid invoice.
Branding
Logo, colours, typeface and margins. The colours are proposed from your logo.
Template per client
Large clients prescribe their own layout. The lookup falls back from client template to general template to the default.

Insight

Figures with an action attached and nothing else.

Dashboard
The day view for the office, and a view of its own for the engineer.
Key figures
Work in progress, forecast final cost, margin, DSO and funnels.A number nobody acts on does not belong on the screen. That is not a style preference but a design rule of the system.
Usage monitor
Sessions, retention, depth of use and where people get stuck.
Alerts
Role-based alerts with push messages, quiet hours outside working time and an inbox in the app.

Budget and actual, side by side, per phase

The margin leaks halfway through, not at the end. That is why the actual figure sits next to the budget, on the day itself and per phase. A monthly report is too late for that.

The forecast says how sure it is. On a project where one phase is running, it says so. A number that pretends to know everything gets ignored within a month.

What it stands on

The part you never see as long as things go well, and the only part that counts on the day they do not.

Several companies on one installation
Every company gets its own environment with its own data and its own branding. The separation is enforced at database level, not only in the application code.
Permissions
47 permissions, spread across roles. Four gates: is this module in the plan, does this user have this permission, may they see this record, and does the amount stay inside their authority.
Security
Two-factor authentication, rate limiting on sign-in, password recovery, HTTPS and an audit trail of who did what and when.
Operations
Nightly backup with tested restore, version control with a changelog, and an event log.
