Where it goes wrong today

Four things we hear back in nearly every conversation. If none of them sound familiar, you probably do not need this system.

At six in the morning a crew is standing there with no address
The schedule was in the site manager’s head and in a chat group. Somebody is off sick and a delivery has moved. The crew waits at the yard while the access platform is already on site.
The materials on the job sheet are wrong
What went on the van in the morning is never the same as what comes back in the evening. What was used gets noted from memory. On a 480 m² roof area you see that difference again in the margin.
At handover it is your word against the client’s
A puddle on the roof. A damaged window frame. A seam that is supposedly not right. Without photos from before and after the work, that becomes an argument you usually do not win.
The lead time drives the schedule but is not in it
Window frames arriving two weeks later move three crews. Keep that only in your email and you discover the clash on the morning itself.

Materials per job sheet, out of the same catalogue
The engineer picks them off a materials list or adds them by hand. That is the same catalogue the estimate draws on. So budget and actual are comparable without anybody putting them side by side.
Photos are attached to the job sheet
What was found and what was left behind, with date and time and the sheet they belong to. In an argument about handover that is the only thing that counts. And nobody has work to do in the evening.
Variations agreed on the roof and signed on the roof
A rotten board that turns up underneath. An extra opening. The site manager puts it on and gets it signed. On the invoice that line points back to the job sheet, with the photo alongside.

    The quote goes out with a provisional sum for the rainwater goods. The client signs online. The work is waiting as a job with the budget underneath it.

  2. Wed 06:55

    On the planning board two crews are set for Thursday and Friday. The lead time on the roof covering is shown with it. So the clash with the next job is visible on Wednesday already.

  3. Thu 07:30

    The crew sees the address, the site, the history and how to get onto the roof. The first photos of the existing situation go straight onto the job sheet.

  4. Thu 14:15

    Under the old layer there are two rotten boards. The variation goes on and the clerk of works signs on the spot. With a photo attached. No argument in week three.

  5. Fri 16:41

    Handover. Photos of the finished area, signature from the client, sheet closed. The invoice can go out that same evening.

Questions from this trade

Can we schedule per crew rather than per person?

Yes. A work order goes to the people working on it, and on the board you see the load per week. The empty row at the bottom is the most important part of it. That is the capacity you can still sell.

How many photos can go on a job sheet?

As many as the work calls for. They belong to the sheet and therefore to the site. You find them again later through the address and not only through the date. That is what makes them usable in an argument a year later.

We also run maintenance contracts on roofs. Does that fit?

Yes. That is the same module installation companies run their service visits on. You set a maintenance interval per site. If a visit falls behind, it is flagged. Statutory inspections sit separately.
