Where it goes wrong today

Four things we hear back in nearly every conversation. If none of them sound familiar, you probably do not need this system.

The breakdown arrives in four places at once
A phone call. An email. A message to the site manager. A ticket through the housing association’s portal. Whoever gets there first knows about it. The rest do not. By the end of the week nobody can say how long that one call sat waiting.
Service visits fall behind and you only find out afterwards
Your contracts call for an annual or six-monthly visit. Somebody keeps track of that in a spreadsheet. What is a statutory inspection sits in the same sheet among everything else. So a missed inspection only shows up once the deadline has gone.
The job sheet comes back on Friday, half filled in
In the crawl space the engineer had no signal. He writes it on a scrap of paper. On Friday somebody types it up. The hours come out on round numbers and the materials come out of his head. The variation he agreed on the spot is not on it at all.
The invoice produces a phone call
The client rings about a line of three hours where they expected an hour and a half. Nobody can quickly check who was there when. So the line is credited. That is not an admin problem. That is margin walking out of the door.

Contracts with service visits that flag themselves
Every site is there with its equipment, its maintenance history and how to get in. The Service and maintenance module flags service visits that are running late. Statutory inspections are tracked separately. Those two are not equally serious, so they do not belong in the same list.
The job sheet is finished on site, signal or no signal
Timer, materials, photos and the client’s signature. Any variation agreed on the spot goes straight on. In a crawl space, on a roof or in an underground car park, everything keeps working. The moment the phone finds a bar it is all in.
Every invoice line points back to that job sheet
Date, engineer, hours, what was done and who signed. When a client rings about a line, you open the backup. That conversation is over in ten seconds. A signed variation is simply turnover and not an argument.

A Tuesday at an eighteen-person installation company

One call, from arrival to invoice line. Nobody retypes anything. At the end everybody knows where the amount came from.

    A housing association reports that the heating has failed in three homes. The call is at the top of the queue with a green clock. The system recognised it as a breakdown. Calling is one click.

    On the planning board the site manager sees who has room that morning. The work order goes to M. de Groot, who sees it on his phone straight away. The site is there with it, the boiler that is installed and what was done to it last year.

    On site the expansion vessel turns out to have failed. The engineer books hours and materials on the sheet and takes two photos. The inlet combination valve is done at the same time. He puts that variation on and the resident signs for it.

    The sheet is closed and signed. There is no signal in the stairwell. The sheet sits on the device for a while and goes across on its own once there is a network again.

    The invoice goes out. Underneath the line of € 1,284.50 sits the job sheet. Date, engineer, hours, materials, variation and the resident’s signature.

Questions from this trade

Does the engineer’s app really work with no signal?

Yes, and not half of it. Open the sheet, book hours, add materials, take photos and get it signed. Everything keeps working. Whatever was filled in offline sits on the device and goes across once there is a signal again. If two engineers were both offline on the same sheet, their changes are applied in order. Nothing is lost.

Can we handle our maintenance contracts and service visits in this?

Yes. Contracts with service visits and response times, per site with its equipment and its history. Anything running late is flagged. Statutory inspections sit separately from the rest. A missed inspection is not the same thing as a missed service visit.

We work for housing associations with their own invoice requirements. Is that possible?

Large clients often prescribe their own invoice layout. You set a template per client. If there is none, the system falls back to your general template and then to the default. A check blocks any template that would not produce a valid invoice.
