Where it goes wrong today

Four things we hear back in nearly every conversation. If none of them sound familiar, you probably do not need this system.

The hours come in on Friday and on round numbers
Fill in on Friday what you did on Tuesday and you come out at eight hours. Every time. You cannot calculate a cost price out of “roughly”. So you do not know which kind of work was profitable.
The schedule holds until the first setback
The trade before you overruns. The floor is not dry yet. The whole week moves a day. Passing that on costs half an hour on the phone. There is always somebody who did not hear it.
Variations happen on the floor, not on paper
An extra door frame. A wall that had to be sanded after all. Agreed with the resident and not recorded. At final account you cannot make it stick.
Void works are scattered
Twenty small jobs a week for the same housing association. Each with its own job sheet and its own settlement. Together it is a lot of money. There is no overview until the monthly invoice.

Every home gets its own job sheet with its own hours. On the invoice they come together per association. Every line carries its sheet underneath. That is the backup a client asks for before they pay.

Eighteen homes and three crews. At the end one invoice, with eighteen job sheets underneath it.

    The crews see their addresses for the day. Each home says what needs doing and how to get in. No chat group and no list on the van.

  2. Mon 09:20

    At the first home the ceiling turns out to be damaged. Photo on and variation on. The association’s clerk of works signs on the screen.

  3. Tue 15:00

    The floor at number 14 is not dry yet. The site manager moves that home to Thursday. The crew sees it straight away and brings number 22 forward.

  4. Fri 16:30

    Eighteen sheets closed, with hours per home and photos where they were needed. The timer ran them. Nobody filled them in on Friday.

  5. Mon 09:00

    One invoice to the association with eighteen lines. Every line carries its sheet. Asking where an amount came from is one click.

Questions from this trade

Does the timer work if somebody is on three jobs in a day?

Yes. The clock runs per job sheet. Somebody at number 12 in the morning and number 30 in the afternoon has two sheets with two times. That is why a weekly timesheet does not work: it cannot carry that difference.

Can we handle premiums for evenings, weekends and dirty work?

Yes, per hour line. They carry through to the cost price and to the invoice. An evening premium does not fall between two stools.

Do our people need a tablet?

No, a phone is enough. The view for the field was built for it. Big targets, few fields and a button that says what it does. Gloves on is the starting point, not the exception.
